Without a plan, seemingly minor details may be forgotten, making it difficult to reach goals and deadlines. Your project plan allows you to specify which employees will handle tasks, when the work is due and how the group will communicate. Before you begin writing your project plan, thoroughly research the scope and specifications of the project to ensure your plan covers all aspects.
Start the project plan with an executive summary page that gives a description of the project and explains why the project is needed and what you plan to accomplish.
Mention how long you expect the project to take, what the project deliverables are, how many employees will work on it and how much money will be devoted.
Include goals, completion criteria, major constraints and core stakeholders. Include a staffing section in the plan. Use this section to assign employees to various tasks.
Include an organizational chart that shows the chain of command for the project. Develop an activity schedule spreadsheet that notes how many days each part of the project should take.
List a start date for each task. Assign specific tasks to the various departments or groups working on the project. The Standard Time website notes that the listing for each task should include forecasted time and actual time worked.
Obtain information on actual time worked from timesheets. Create an overall project schedule spreadsheet. The schedule shows the entire duration of the project and includes milestones, delivery dates for specific parts of the project, dates of reviews, audits or inspections and deadlines.
The project schedule also defines the sequence of tasks for the project.
Add a spreadsheet that details the cost to complete the plan. List each task and estimate the number of hours and amount of money it will take to complete.
Include a page that describes your communication plan. Communications detail how often you will hold meetings and how updates and critical information are communicated to team members and stakeholders. End the project plan with an approval sheet. It should include the name of the project, the date and the name of the project manager.
Include blank lines for signatures of administrators or others in your company who must sign off on the project. Things Needed Spreadsheet software Tip If your plan contains many larger tasks, break these into specific smaller tasks. When you write the draft of your project plan, give each task its own page and list all of the sub-tasks needed to complete the task on the page.
